Hohaia Bookkeeping looks after your personal and business information with care. This policy explains what we collect, why, who we share it with, and how you can see or correct it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Who we are
Hohaia Bookkeeping is run by Donna Hohaia, a registered BAS agent, from Office suite, 23 Alexandra St, Mooroopna VIC 3629 (ABN 83 559 801 005). In this policy, "we", "us" and "our" mean Hohaia Bookkeeping.
What we collect
- Contact details — your name, business name, email address and phone number.
- Enquiry and booking details — the software you use, the service you need, your message, and the time you book.
- Business and financial records — when you become a client, the records we need to do your bookkeeping, BAS, payroll and related work. This can include bank transactions, invoices, payroll details, and staff and supplier details.
- Tax file numbers — only where the law allows and the work needs it. We handle TFNs under the Privacy (Tax File Number) Rule 2015.
- Payment details — payments are taken by our payment provider, Stripe. We see that a payment was made, but we never see or store your full card number.
- Website use — basic technical information such as your browser, device, pages visited and how you arrived at our site (for example, from an ad).
How we collect it
Mostly from you: when you fill in a form on our website, book a time, pay online, email, phone or message us, or send us your records. Sometimes we receive information from others with your permission, such as your accountant, your bank feeds or your accounting software.
Why we use it
- To reply to your enquiry and book your appointment.
- To provide our bookkeeping, BAS, payroll and related services.
- To lodge statements and deal with the ATO for you, as your registered BAS agent.
- To send invoices, take payments and keep our own business records.
- To send you reminders, updates and offers by email or text. You can opt out at any time (see below).
- To understand how people use our website and how well our advertising works.
- To meet our legal obligations, including the Tax Practitioners Board Code of Professional Conduct.
Emails and texts
We only send marketing emails and texts with your consent. Every message tells you who it is from and gives you a simple way to unsubscribe, as the Spam Act 2003 requires. Unsubscribing doesn't stop messages we need to send about work we're doing for you.
Who we share it with
We don't sell your information. We only share it when needed to do the work, or when the law requires it:
- The Australian Taxation Office and other government agencies, when we lodge or deal with them for you.
- Your accountant, tax agent or financial adviser, with your permission.
- Service providers who help us run the business, such as our payment provider (Stripe), cloud accounting software, email and text message services, and secure website hosting.
- Advertising and analytics services such as Google and Meta, which may receive technical information about your visit (not your financial records).
- Anyone else, if you ask us to or if the law requires it.
Information stored overseas
Some of our service providers store data on servers outside Australia, including in the United States. We use reputable providers that protect personal information to a similar standard to the Australian Privacy Principles.
Cookies, analytics and advertising
Our website uses cookies and similar tools to make it work, to measure visits, and to see which ads lead to enquiries. Google and Meta may use cookies to show you our ads on other sites. You can turn off cookies in your browser settings. You can also manage Google ad personalisation at adssettings.google.com and Meta ad preferences in your Facebook or Instagram settings.
Keeping it safe
We store information in secure, password-protected systems, give access only to people who need it, and use trusted providers. We keep records for as long as the law requires (usually five years for tax records), then delete or destroy them securely.
If something goes wrong
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.
Seeing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below. We'll reply within 30 days. If we can't give you access, we'll tell you why.
